Know what to automate before you automate

Most automation projects start with a tool and end in a mess. We start with your calendar and your inbox. We find the work that repeats, work out which of it is worth automating, build that part with you, and leave you able to run it without us.

We start by counting what repeats, and how often. The marked rows are where automation pays.

Accounting firms leak in the same place

We list a sector once we can show the evidence for it. The rest go up as we confirm them.

CPA and bookkeeping firms

  • Chasing the same clients for the same documents, month after month

What we fix first — A request checklist, reminders that send themselves, and one board showing what is still outstanding

In a survey of 816 accounting, bookkeeping and tax firms across North America, “getting documents from clients” was the single biggest workflow problem. Seven in ten of them run firms of five people or fewer. (Financial Cents, 2025)

Start a Fit Check for this

Automation rarely fails for technical reasons

The tools are good enough now. What goes wrong happens before you ever open one.

  • The tool comes first, the thinking second

Someone buys an app before anyone has named the bottleneck. Three weeks later there’s an automation for something that was never the problem, and the real one is still there.

  • The wrong tasks get automated

A day disappears perfecting a task you do twice a month. The one you do six times a day is still sitting there.

  • Only the person who built it understands it

Outsourced automation works until it breaks. If nobody on your side knows how it was wired, you’re waiting on a contractor to fix something you can’t see.

How we work

This is how a full engagement runs, and we build only what needs building. The free Fit Check is a short, AI-led first pass at step one.

  1. Diagnose

We sit down with you and write out your week as it actually runs — what repeats, how long each thing takes, and where it jams.

  2. Design

We put the changes in order and price them, so you can see hours saved against what the tools and the build will cost.

  3. Teach

What we build lives in your own accounts and stays fixable by you. You keep the guides and the recordings, and we explain as much as you want.

  4. Build

We build the parts that need building, with you watching. How it was made matters as much as what it does.

Start small. The diagnosis comes first

Add only what earns its place.

    Automation Fit Check

Five quick questions, then a short AI-led interview about the one task you most want gone. You get a recommended approach, the yearly hours involved, and what to try this month — on screen and by email. About 15 minutes.

    Diagnosis Report

An interview-based map of your workflow: where it jams, what to change first, which tools fit, what the return looks like, and a 30/60/90-day plan.

  • Built with you

    Guided Setup

We build the core automations in your own accounts, alongside you. Written guides, screen recordings, an operating checklist, and a training session.

  • Kept sharp

    Operating Retainer

A monthly review and an improvement meeting. Error monitoring and small fixes. A quarterly report. We don’t sell unlimited change requests.

What we’d recommend

Rule-based workflow automation

The reports already follow a near-fixed pattern — a name and a time. Moving check-ins onto a simple form that writes straight into the sheet is the most realistic first step.

132hours a year of hands-on work, from the numbers given

The problem, in your words

Staff report their check-in and check-out over KakaoTalk, and every day someone types it all into a spreadsheet.

What could be automated

  • Take check-ins through a form or a button instead of chat messages
  • Write each check-in straight into the sheet
  • Nudge anyone whose report is missing

What a person should keep doing

  • Confirm what happened on days a report is missing
  • Decide when your records and a client’s don’t match

What the interview couldn’t tell

  • How often reports go missing in a month

What to try this month

  • Run the form with five staff for two weeks
  • Settle the sheet’s columns before anything writes to it

Try it on your own work

This fits you if

  • The repetitive work is wearing you down and you want the business to run on a system, not on memory
  • You want to own what gets built, rather than rent the person who built it
  • You want the hours saved and the costs counted in real numbers
  • You’d rather understand the system than depend on whoever built it

And it doesn’t if

  • You want the result without changing how the work gets done today

Who does the work

Diagnosis and design are handled by someone with a background in both educational technology and software engineering — someone who most enjoys learning how an unfamiliar business actually runs, then explaining it back in plain terms.

A graphic designer on the team shapes the brand and the look of the site.

  • Consultations in English and Korean
  • Full diagnoses and designs are done by people

Common questions

What does Daheyo Works do?

Daheyo Works is an AI and workflow automation consultancy for small businesses. We find the repetitive work in how your business runs, work out which of it is worth automating, design the change, and teach you and your team to run it. We build only the parts that need building, and we build them with you.

Who is it for?

Owners and teams of small businesses in the US who are worn down by repetitive work, such as quotes, document requests, staff records and customer inquiries, and want the business to run on a system. We consult in English and Korean, so Korean-American business owners can talk it all through in Korean.

What is the free Fit Check?

A free first look at the one task you most want gone. You answer five short questions, then go through a short AI-led interview. It takes about 15 minutes. You get a recommended approach, the hours the task takes in a year, and what to try this month, on screen and by email.

Is the consulting done by AI?

Only the Fit Check. Its interview runs on Anthropic’s Claude, and our team can read the results. Full diagnoses, designs and training are done by people.

Which automation tools do you use?

We don’t start from a tool. We choose tools after we have mapped the work, and we set them up in your own accounts, so what we build stays yours. A Diagnosis Report says which tools fit and what they cost against the hours they save.

Can you just build the automation for us?

We build what needs building, but alongside you, and you keep the guides and the recordings. What we will not do is hand back something only we can change — if it lives in your accounts and you can fix it, we have done the job.

What happens to my Fit Check answers?

Fit Check answers and call requests alike are deleted automatically 30 days after you submit them. If we go on to work together, we keep them while that continues and delete them 30 days after it ends. You can ask us to delete them sooner at any time at hello@daheyo.com.

How long does it take?

The free Fit Check takes about 15 minutes. Anything beyond that depends on how much work we are looking at, which is what the 15-minute call is for — we look at the scope together and put dates on it there.

Can we just do this on a call?

Yes, and often that is faster. Leave your number and the times you can actually pick up, and we call within one business day — no slot grid to work out. The Fit Check is a typing exercise, so if writing your work out is the awkward part, skip it and talk to us instead.

How do I get started?

Ask us to call you — leave a number and when you can pick up. Or try the free Fit Check on this site first if you would rather see something before you talk to anyone. Either way you can email hello@daheyo.com and tell us about the task that takes up most of your week.
